Service queue

Serve customers using courses they already bought: deduct courses and drugs, finish the service, record hand fees, and cancel mistakes

23 steps~55 minclinic.app-apsx.com
Contents

A service queue is for customers who have already bought a course and come to use it. No new bill is issued, so there is no awaiting-payment step: Waiting → In service → Finished. Courses and stock are only deducted when you press Finish service, so items can be added or removed before that without affecting balances. If the customer needs an exam or a new purchase, use the OPD queue instead

1

Before taking queues

One-time setup — procedure rooms, beds and staff permissions

Step 1.1Owner/manager

Set up procedure rooms and beds

The add-queue form requires a room and a bed

Set up procedure rooms and beds

Set up procedure rooms and beds

1Numbers in the screenshot match the steps · click to enlarge

Why

The service add-queue form only lists procedure rooms, and "Add queue" stays disabled until a room and bed are chosen. Without this room type you cannot add a queue at all

How

  1. 1The owner opens Shop settings › Rooms/Beds and creates a room with the procedure room type
  2. 2Add at least one bed to that room — a bed is required to select it in the add-queue form

Done when: The add-queue form lists a room and a bed

Step 1.2OptionalOwner/manager

Check staff permissions

Roles decide who can add, serve, record hand fees and cancel

Check staff permissions

Check staff permissions

Why

List buttons follow role permissions. If staff cannot see a button, check their role first — it is not a queue problem

How

  1. 1The owner opens Shop settings › Roles and picks the role to check
  2. 2Check the service queue permissions: add · choose date when adding · filters · doctor filter · date filter · manage · hand fee · print queue card · cancel

Tips

  • Roles without the date filter permission always see today only

Done when: Each position sees the buttons their job needs

2

Check customers in

Add queues, read the list and manage queues from each row

Step 2.1

Add a new queue

Customer · doctor · room · bed · priority

Add a new queue

Add a new queue

1Numbers in the screenshot match the steps · click to enlarge

Why

Every service starts with a queue, because courses, drugs, photos and hand fees all attach to it

How

  1. 1Open the Service queue menu and press Add queue at the top
  2. 2Search customer: type at least 3 characters and pick from the list — name, HN, national ID or passport all work
  3. 3Check the Allergy tag on the selected customer before continuing
  4. 4Doctor: choose the doctor or service provider
  5. 5Check Room and Bed — the system picks a free one automatically. You can change it, and each option shows whether it is free
  6. 6Press Add queue under the form — it is enabled once customer, doctor, room and bed are filledConfirm add queue
  7. 7Choose a priority (Normal · Medium · High · Urgent) and press Add queue in the dialog
  8. 8Queue added appears and the new queue is listed as Waiting

Tips

  • Press Send to queue on the appointments page to prefill the customer
  • The date field only appears for roles allowed to choose it when adding

Done when: The customer’s queue is listed as "Waiting"

Step 2.2

Read the list and filters

Status cards · search · date · department · doctor · priority

Read the list and filters

Read the list and filters

1Numbers in the screenshot match the steps · click to enlarge

Why

On busy days filters let each room see only its own queues, and stale queues get noticed before they are forgotten

How

  1. 1Press a status card to filter by status — press it again to show all
  2. 2Filter & Search tab: search by customer name, national ID or passport
  3. 3Choose Today, Yesterday or Pick a date, then filter by department, doctor or priority as needed
  4. 4Press Clear filters to go back to the default view
  5. 5If the stale queue bar appears, press Show open queues and finish or cancel each one

Tips

  • The page refreshes every 60 seconds, or press Refresh for an immediate update
  • At 2 a.m. the system cancels stale queues with no items. Queues with courses or drugs stay for the shop to resolve

Done when: You can find a customer’s queue through search or filters

Step 2.3Optional

Row buttons and menu

Start service · queue card · notes · questionnaire · profile

Row buttons and menu

Row buttons and menu

1Numbers in the screenshot match the steps · click to enlarge

Why

Many small jobs can be done from the row without entering the service room, and they do not change the queue status

How

  1. 1See the row’s main button: Start service (Waiting) · Continue (In service) · View items (Finished)
  2. 2Press the row’s ⋯ menu for other actions
  3. 3Print Queue Card: print a card for the customer — the status does not change
  4. 4Queue Notes: add, edit or delete notes for the team — only on open queues
  5. 5Add questionnaire: open a form for the customer to answer — only on open queues
  6. 6View customer profile: open the customer’s record without entering the service room

Tips

  • Cancelled rows show the reason and who cancelled

Done when: You know where each small job is in the menu

3

Serve in the service room

Verify identity, take history, choose courses, add drugs and finish

Step 3.1

Open the queue and verify identity

Start service · check allergies · face or ID card

Open the queue and verify identity

Open the queue and verify identity

1Numbers in the screenshot match the steps · click to enlarge

Why

Opening the service room moves the queue to "In service" immediately. This is where you confirm the right person and see allergies before any drug or procedure

How

  1. 1On a waiting row press Start service — if the shop enables identity checks, the verification window opens automaticallyVerify identity before service
  2. 2Method: choose Verify Face and press Capture Image, or choose ID card and press Read ID Card
  3. 3Verification is required and cannot be skipped — if you cannot verify yet, press Back to queue list. A verified queue is not asked again
  4. 4Always read Pre-procedure safety: allergies, conditions and health notes
  5. 5To record vital signs or symptoms, press Add history

Tips

  • The Identity tab only appears when the shop enables queue face verification
  • The card number must match the queue’s customer, otherwise the system reports a mismatch

Done when: The queue is "In service" and identity is verified

Step 3.2

Choose the course to use

Remaining courses tab · quantity · drug set · unpaid bill · expired course

Choose the course to use

Choose the course to use

1Numbers in the screenshot match the steps · click to enlarge

Why

How

  1. 1In the queue list, open an unfinished queue with Continue or Start service
  2. 2Open the Remaining courses tab
  3. 3Search by course name, code or receipt number, or use the chips: Usable, Expiring soon, Used up, All
  4. 4On the course row press Use serviceUse service
  5. 5Enter the quantity to use — above 0 and no more than the balance
  6. 6Check the course’s drugs and supplies — drug-set courses use Add drug set or Change set; items marked Locked cannot have their quantity changed
  7. 7If the course’s bill is unpaid, tick the box acknowledging the unpaid bill
  8. 8If the course has expired, tick the box confirming use of an expired course
  9. 9Press Use service in the dialog — the course appears under Items in this queue and its row shows In this queue

Tips

  • A course already in the queue cannot switch drug sets directly — remove it from the panel and add it again
  • If Insufficient stock appears, restock or remove the drug, then press Recheck stock

Done when: The course appears under "Items in this queue" with the correct quantity

Step 3.3

Manage the queue items panel

Extra drugs · quantities · remove items · issuer · department · tag

Manage the queue items panel

Manage the queue items panel

1Numbers in the screenshot match the steps · click to enlarge

Why

This panel is exactly what will be deducted when you finish, so check items, quantities and the deducting store first

How

  1. 1In the queue list, open an unfinished queue with Continue or Start service
  2. 2Find Items in this queue — on the right on large screens, below on small ones
  3. 3For drugs or supplies not tied to a course: search or scan under Extra drugs/supplies and choose a unit
  4. 4Change drug quantities with − / + or by typing — the maximum and store balance are shown under each drug
  5. 5Press the delete icon to remove an item — removing a course also removes its linked drugs, and you are warned first
  6. 6Check Issued by, Department and Tag — these flow into reports
  7. 7Check Deduct stock from — it is the shop’s default store and cannot be changed here
  8. 8If the shop tracks procedure makers, press Add procedure performer, have them confirm with their own password, then press Checkout when done

Tips

  • Cost figures only show for roles the shop allows

Done when: Items, quantities, issuer and department are all correct

Step 3.4

Finish the service

Real course and stock deduction · signature · print the service slip

Finish the service

Finish the service

1Numbers in the screenshot match the steps · click to enlarge

Why

How

  1. 1In the queue list, open an unfinished queue with Continue or Start service
  2. 2Press Print confirm service usage if the customer should review and sign before finishing
  3. 3Press Finish service — if the shop requires a signature and none is saved, the print and sign window opens firstConfirm finish service
  4. 4Check the items in the confirmation window and press Confirm
  5. 5The queue becomes Finished, the panel is view-only, and Print service slip appears

Tips

  • Finish is disabled with no items or insufficient stock, and stock is checked again when you confirm
  • After finishing, editing the date/time, issuer, department and tag is no longer available

Done when: The queue is "Finished" and the course balance is reduced
