OPD queue

Receive outpatients, take history, diagnose, order tests and drugs, create the sale, send to payment and record hand fees

31 steps~75 minclinic.app-apsx.com
Contents

The OPD queue is for patients seeing a doctor, usually with a new sale: Waiting → Examining → Awaiting payment → Finished. Opening the exam room moves the queue to Examining, and Create order moves it to Awaiting payment, after which queue items can no longer be edited. It becomes Finished once paid with no items pending. If a customer only comes to use a course they already bought, use the service queue instead

1

Before taking queues

One-time setup — exam rooms, beds and staff permissions

Step 1.1Owner/manager

Set up exam rooms and beds

The add-queue form requires a room and a bed

Set up exam rooms and beds

Set up exam rooms and beds

1Numbers in the screenshot match the steps · click to enlarge

Why

"Add queue" stays disabled until customer, doctor, room and bed are chosen. Without an exam room the shop cannot take queues

How

  1. 1The owner opens Shop settings › Rooms/Beds and creates a room with the exam room type
  2. 2Add at least one bed to the room

Done when: The add-queue form lists a room and a bed

Step 1.2OptionalOwner/manager

Check staff permissions

Roles decide buttons, tabs and whether amounts are visible

Check staff permissions

Check staff permissions

Why

Positions see different things — for example, roles without amount access see "Amounts hidden for this role". If a button or tab is missing, check the role first

How

  1. 1The owner opens Shop settings › Roles and picks the role to check
  2. 2Check the OPD permissions: add · filters · manage · hand fee · queue card · cancel, plus exam room tabs and amount visibility

Done when: Each position sees the buttons and tabs their job needs

2

Check patients in

Add queues, read the list, use filters and manage queues from each row

Step 2.1

Add an OPD queue

Customer · doctor · room · bed · priority

Add an OPD queue

Add an OPD queue

1Numbers in the screenshot match the steps · click to enlarge

Why

Every exam starts with a queue, because history, diagnosis, orders and the bill all attach to it

How

  1. 1Open the OPD queue menu and press Add queue at the top
  2. 2Search customer: type at least 3 characters and pick the customer — check their Allergy tag
  3. 3Doctor: choose the examining doctor
  4. 4Check the Room and Bed chosen for you — you can change them, and each option shows whether it is free
  5. 5Press Add queue under the formConfirm add queue
  6. 6Choose a priority (Normal · Medium · High · Urgent) and press Add queue in the dialog
  7. 7The new queue appears as Waiting

Tips

  • Import OPD data from a file with Import OPD at the top of the page

Done when: The queue is listed as "Waiting"

Step 2.2

Read the list and filters

Status cards · my queue · search · lab filters · stale queues

Read the list and filters

Read the list and filters

1Numbers in the screenshot match the steps · click to enlarge

Why

Filters let doctors see only their queues and lab staff see unanalysed or unverified work, while the stale bar stops work slipping across days

How

  1. 1Press a status card to filter — press it again to show all
  2. 2Doctors press My Queues to see only their own queues
  3. 3Filter & Search tab: search by name, national ID or passport, then choose date, department, doctor or priority
  4. 4Lab staff press Lab filters for analyst, analysis status, verifier and verification status
  5. 5If the stale queue bar appears, press Show open queues and close or cancel each one

Tips

  • OPD queues are never cancelled automatically — stale queues stay until the shop resolves them
  • Roles without the date filter permission always see today only
  • The page refreshes every 60 seconds, or press Refresh for an immediate update

Done when: You can find a patient’s queue through search or filters

Step 2.3Optional

Row buttons and menu

Start exam · queue card · notes · forms

Row buttons and menu

Row buttons and menu

Why

Many preparation jobs work from the row without moving the queue to Examining, so front desk staff can use them without disturbing the doctor’s workflow

  2. 2Press the row’s ⋯ menu for other actions

  5. 5Correct the queue time with the pencil icon by the date — pick a date and time, or press Set to current date/time, then ConfirmUpdate date and time

Tips

  • If you search in the wrong category, the system says the item is on another tab and offers to take you there
  • If a category is missing or cannot be searched, check the role’s permissions first

Step 4.2

  6. 6If you left the page, open the queue with View items and press Go to payment
  7. 7Once paid with no items pending, the queue becomes Finished

Tips

  • If the queue already has a bill, the system opens it rather than creating a duplicate
  • Cancelling the bill reopens the queue for editing
