Appointments

Book customers with doctors, confirm, send to the queue on arrival, reschedule, and track follow-ups in the Sales Pipeline

10 steps~25 minclinic.app-apsx.com
Contents

Bookings are only possible on days and times when the shop is open, not a holiday, and the doctor accepts appointments — so do Part 1 first, or there will be no time slots to pick. Daily work is: book → confirm → when the customer arrives, press Send to queue. Appointments past their date that never entered the queue automatically count as No-show. Part 3 is the Sales Pipeline for team follow-ups and sales opportunities

1

Before taking appointments

One-time setup — shop hours, holidays, topics and doctor hours

Step 1.1Owner/manager

Shop hours, holidays and topics

Opening hours · slot length · holidays · appointment topics

Shop hours, holidays and topics

Shop hours, holidays and topics

1Numbers in the screenshot match the steps · click to enlarge

Why

Bookable slots come from the shop’s opening hours, and shop holidays remove the whole day. Topics are the choices in the appointment form and the Sales Pipeline — without them staff type free text every time and you cannot group by topic

How

  1. 1Owner opens Shop settings › Time/Holiday and picks the Open/Close Time tab
  2. 2Working Hours: set Start Time and End Time — appointment slots are only generated inside this range
  3. 3Working Days: switch on each day the shop opens — days left off have no bookable slots
  4. 4Appointment Conditions, Time Range (minutes): choose the length of each slot, e.g. 15 / 30 minutes
  5. 5Repeat Count: to let one doctor take several bookings per slot, turn on Date-Time/Doctor and enter a number (off = one per slot)
  6. 6Press Save in the bottom bar (it appears when there are unsaved changes)
  7. 7Holiday tab: press Add, fill Holiday Name, Date and Holiday Type, then save the windowAdd holiday window
  8. 8Appointment Topics tab: press Add, fill Thai Name and English Name, e.g. follow-up · vaccination, then saveAdd appointment topic window

Tips

  • With no time range chosen, slots default to 30 minutes (Not set (system uses 30 minutes))
  • To show bookings on the doctor’s phone calendar: press Connect under Connect Google Calendar, then turn on Add to the doctor’s Google Calendar in the form

Done when: The appointment form lists your topics and shop holidays show no free slots

Step 1.2

Doctor appointment hours

Each doctor sets their own · weekly hours · days off

Doctor appointment hours

Doctor appointment hours

1Numbers in the screenshot match the steps · click to enlarge

Why

The form only shows days the doctor accepts appointments. Without a schedule you cannot pick that doctor’s dates/times, and the doctor queue and roster tabs show them as off shift

How

  1. 1The doctor logs in, opens the user menu (top right) › Profile, then presses Appointment schedule in the left menu
  2. 2If a doctor picker shows at the top right, choose Myself or the doctor you are setting up
  3. 3Appointment type: choose Full-time doctor (shop hours on every open day) or Part-time doctor (only the days you switch on)
  4. 4Weekly schedule: switch on each working day and set start/end · Add range for more ranges · Apply to all days copies the hours
  5. 5Press Save under the weekly schedule — Weekly schedule not saved shows until you do
  6. 6Leave or extra days: in the Appointment calendar below, click that dayDay settings window
  7. 7On this day: choose Day off / Off for part of the day / Replace schedule / Extra hours, set the time range if needed — check Result first
  8. 8Press the confirm button at the bottom right (its label follows your choice, e.g. Take off, Add) — saved immediately

Tips

  • The doctor picker only lists users with the Admin, Manager, Doctor, Therapist or Medical Technologist role who have accepted the shop invitation
  • Hours outside shop hours are trimmed · doctors who hide their name from appointments (Display) are not listed

Done when: The "Doctor roster" tab shows shift times for every doctor

Step 2.1

Book an appointment

Customer → doctor → date → time → topic

Book an appointment

1Numbers in the screenshot match the steps · click to enlarge

Why

Complete bookings let doctors see their day ahead, prevent double booking, and power customer reminders

How

  1. 1Appointments page: press Add an appointment at the top rightAdd an appointment window
  2. 2Customer: choose Registered (has HN) or Walk-in (no record, type the name)
  3. 3Search Customer: type name / HN / phone / ID (at least 2 characters) and pick the right person — not found? press Add new customer
  4. 4Phone for this appointment: filled from the customer record — check it; edits apply to this appointment only
  5. 5Doctor, date and time, Doctor: choose the doctor — Last saw this customer marks the previous one
  6. 6Tap a date tile (shows free count or Full) — for later dates use Go to date or Show ahead 15/30/45/90 days
  7. 7Tap a time under Morning / Afternoon / Evening — Booked slots cannot be picked
  8. 8Purpose, Appointment topic: pick from the list or type your own (tick Use English topic for the English name)
  9. 9Room: choose OPD / IPD / Service — on the day, Send to queue opens this room’s queue
  10. 10More options (optional): Note, Internal comment (staff only), Tag, Calendar color, the doctor’s Google Calendar and Telemedicine switches
  11. 11Check the Summary on the right — the footer shows Still missing: … if anything is left
  12. 12Press Save (or Save + print card to print the slip straight away)

Tips

  • If the customer already has an appointment, the form shows Customer already has an appointment before you double-book
  • Shortcut: click an empty calendar slot, or Book in the Doctor queue tab — date, time and doctor are pre-filled
  • No dates at all = shop closed, holiday, or the doctor has no appointment hours (see Part 1)

Done when: The appointment appears in "Appointment list" for that day as "Awaiting confirmation"

Step 2.2

Confirm and send to queue on arrival

Day summary · status chips · next-step button on each row

Confirm and send to queue on arrival

Confirm and send to queue on arrival

1Numbers in the screenshot match the steps · click to enlarge

Why

Statuses tell the team who confirmed and who arrived. "Send to queue" marks the appointment as attended — open a queue without it and the next day the appointment becomes "No-show", so CRM follows up the wrong person

How

  1. 1The List tab shows the selected day
  2. 2Change day with ‹ Today › or the date box beside them
  3. 3Day summary cards: press Pending to list unconfirmed appointments (others: Confirmed · Arrived / In queue · No-show)
  4. 4Confirm with the customer by phone or chat, then press Confirm on the row — the status becomes Confirmed
  5. 5When the customer arrives press Send to queue on the row — the queue page opens in a new tab with this customer and doctorQueue page (new tab)
  6. 6Open the queue as usual in the new tab, then come back — the row now shows Arrived / In queue
  7. 7Click a row to open the detail panel (tags, notes, internal comment) and more actionsAppointment detail panel

Tips

  • Search by name, HN, phone or topic · filter by doctor and room type
  • Press All dates to search every day (newest first) — this mode cannot search by phone; use a single day for that
  • The edit window also has Send to queue — it asks first, saves your edits and opens the queue
  • Allow pop-ups in the browser, or the queue tab will not open

Done when: Every customer who came today shows "Arrived / queued"

Step 2.3

Reschedule, print, cancel and delete

Edit / reschedule · print slip · change status · no-shows

Reschedule, print, cancel and delete

Reschedule, print, cancel and delete

1Numbers in the screenshot match the steps · click to enlarge

Why

Rescheduling instead of rebooking keeps history clean and frees the old slot; cancelling instead of deleting keeps a record

How

  1. 1Click the appointment row in List to open the detail panelAppointment detail panel
  2. 2In the panel press Edit / RescheduleEdit Appointment window
  3. 3Doctor, date and time: pick the new date/time (the old one is tagged Current) — the doctor can change, the customer cannot
  4. 4Check Changes on the right and press Save — it turns on once something changed
  5. 5Print: in the panel press Print slipPrint an appointment window
  6. 6Choose Print in Thai or Print in English, check the preview, then press Print
  7. 7To cancel: press the ⋮ button on the rowAppointment menu
  8. 8Choose Cancel appointment — it becomes Cancelled and the slot frees up (undo: ⋮ › Restore)
  9. 9No-show rows have a Reschedule button — call the customer, press it and pick a new date in the edit windowEdit Appointment window

Tips

  • The edit form cannot change the customer — cancel and book again if it is the wrong person
  • Delete appointment (panel or ⋮ menu) opens Delete appointment; pressing Delete is permanent — only for mistakes
  • Past-date appointments that never queued become No-show automatically (even if confirmed) · today’s late ones do not count yet

Done when: The appointment moved to the new date and the customer has a slip

Step 2.4Optional

Calendar and status board

Calendar coloured by doctor · drag cards to change status

Calendar and status board

Calendar and status board

1Numbers in the screenshot match the steps · click to enlarge

Why

The calendar shows which doctor is busy across the week; the status board suits the front desk — instantly see who is awaiting confirmation or has arrived

How

  1. 1Press the Calendar tab
  2. 2Pick Day, Week, Month or List (phones start on List)
  3. 3Click a doctor in the Doctor box to show only them — colours follow the doctor, dots show status
  4. 4Click an empty slot to book that time (date and time pre-filled) · click an appointment to open its panelAdd an appointment window
  5. 5Press Status board — 4 columns: Pending · Confirmed · Arrived / In queue · No-show / Cancelled
  6. 6Drag a card to another column to change status, or press the next-step button on the card
  7. 7Press Details on a card to open the panelAppointment detail panel

Tips

  • The calendar hides cancelled appointments (see the list tab) · struck-through name = no-show
  • Dropping on Arrived / queued opens the queue in a new tab, same as Send to queue

Done when: The front desk tracks the day on the status board

Step 2.5Optional

Daily doctor queue and roster

Free slots of every doctor for a day · weekly shifts

Daily doctor queue and roster

Daily doctor queue and roster

Why

When a customer asks "any time today?", the daily doctor queue shows every doctor’s free slots at once — no need to open the form per doctor

How

  1. 1Press Doctor queue (day) — one column per doctor, the header shows shift and booked/free counts
  2. 2Tick Show only time slots with free spots to hide full times
  3. 3Press Book in a free slot — doctor, date and time are pre-filled; just pick the customer and topicAdd an appointment window
  4. 4Press Doctor schedule (week) — a row per doctor, a column per day, with shift and count
  5. 5Move weeks with ‹ This week ›, then click a doctor’s cell to open that day’s doctor queue

Tips

  • Striped slots = off shift · No doctor on duty today = no doctor has hours set for that day
  • Shift times come from each doctor’s Profile › Appointment hours — edit them there, not here

Done when: You can tell a customer instantly which doctor is free when

Step 2.6OptionalOwner/manager

LINE appointment reminders

CRM › CRM settings · appointment reminder

LINE appointment reminders

LINE appointment reminders

1Numbers in the screenshot match the steps · click to enlarge

Why

A reminder before the date cuts forgotten appointments — sent automatically from your bookings, no calling everyone

How

  1. 1Requires the CRM 360° add-on — the LINE channel needs a connected LINE OA (see the CRM guide)
  2. 2Open CRM › CRM settings, Customer messages tab
  3. 3Appointment reminder row: turn on its switch in the On column
  4. 4Press the row’s More settings arrow, choose Send in advance hours and the Channels
  5. 5Press Save in the bottom bar

Tips

  • It sends on the first channel that succeeds, in the order LINE → WhatsApp → SMS → email among those selected · SMS uses shop SMS credit · one reminder per appointment
  • LINE only = only customers who linked LINE receive it — add SMS under Channels
  • Without CRM, give a printed slip via Save + print card or call from the List tab

Done when: The reminder shows "Sent" counts in "Customer messages"

Sales Pipeline

Team follow-ups and sales opportunities on a Kanban board

Step 3.1Optional

Add a follow-up item

Title · topic · due time · priority · visibility

Add a follow-up item

Add a follow-up item

1Numbers in the screenshot match the steps · click to enlarge

Why

Tasks like "follow-up call after a procedure" or "offer a renewal" get lost in scattered notes. With a due time, the pipeline flags overdue work and the team sees who owns it

How

  1. 1Appointments › Sales Pipeline: press Add itemAdd item window
  2. 2What is this task, Title: a short task name, e.g. follow-up call after treatment
  3. 3Topic: choose one of the shop’s appointment topics (required)
  4. 4Due: pick date and time — used to flag overdue work · add a Description if needed
  5. 5Status and priority: choose Pending / In progress / Done and High / Medium / Normal
  6. 6Who can see it and who owns it: choose Public (whole shop), Team (you and members) or Private (only you)
  7. 7For Team: in Add member type a staff name or email and pick them
  8. 8Press Save

Tips

  • Topics are the same list as appointment topics in Hours/holidays — you cannot save without one
  • Team members must be staff of this shop · switching to Private removes all members (you are asked first)
  • Anyone who can see an item can edit it; only the creator or owner can delete · deletion cannot be undone

Done when: The item appears in its status column with the due time on the card

Step 3.2Optional

Work the board

Drag to change status · overdue · filters

Work the board

Work the board

1Numbers in the screenshot match the steps · click to enlarge

Why

The whole team sees all work in one place, with overdue items counted separately so no customer slips through

How

  1. 1Each morning press the Overdue card to see only past-due work (press again to clear)
  2. 2Click a task card to edit it — change status, members or due time, then press SaveEdit item window
  3. 3Or drag a card to In progress / Done — saved at once; press Undo within 5 seconds if wrong
  4. 4Filter with the visibility tabs Everything I can see / Public / Team / Private
  5. 5Search by title, details or member name · the topic, priority, owner and due filters sit beside it
  6. 6Switch to a table with List view next to Add item (back with Kanban view)

Tips

  • The Done column shows only the last 30 days — press See all done items for older ones
  • On mobile, use the card ⋯ menu › Move to instead of dragging
  • Other people’s private and team items are hidden — except the owner, who sees everything

Done when: The "Overdue" card is 0, or every overdue item has an owner
