Customers

Register patients correctly, find customers, see their full history, and organise them with groups and tags

10 steps~25 minclinic.app-apsx.com
Contents

Everything starts on the Customers page: register (HN assigned automatically) · search · click a name for details (remaining courses, history, receipts, appointments) · the row ⋮ menu for other tasks such as redeeming coupons, PDPA consent and suspending. Customer groups and tags split customers for credit packages, promotions and campaigns. Buttons and menu items depend on your role permissions

Register customers

Add new customers correctly the first time

Step 1.1

Add a new customer

5 required fields · HN assigned automatically · duplicate ID blocked

Add a new customer

Add a new customer

1Numbers in the screenshot match the steps · click to enlarge

Why

Customer data flows into queues, receipts, medical certificates and claims — a wrong name or ID makes every document wrong, and a duplicate record splits the history in two

How

  1. 1Customers page: press Add customer at the top right (or F1 · fn + F1 on Mac) — shown only to roles allowed to add customersAdd customer window
  2. 2Look at the header: Next HN is the HN this customer will get (assigned on save)
  3. 3The yellow box under the header lists the 5 missing required fields — click one to jump to it
  4. 4Identity & name: choose Thai Person / Foreigner / Not Specified — foreigners use a passport number instead of the ID card and can pick a foreign address
  5. 5ID Card Number: type 13 digits; duplicates are checked as you type — This ID already belongs to a customer means close and search instead of creating a new one
  6. 6Name (TH) and Lastname (TH): type the real name carefully — it is printed on receipts, medical certificates and claims
  7. 7Birthday: pick the date of birth and the age is calculated (may be left blank, but not a future date)
  8. 8Contact & address, Telephone number: enter the customer’s mobile — used for search and the PDPA SMS
  9. 9Address: type house no., moo, soi, road — if the customer gives none, press Address unknown next to it to fill - for the address and area
  10. 10Click Province / District / Sub-district / Zip code to open the address picker; pick province › district › sub-district in order (the zip code fills in)Select address window
  11. 11When all are picked press Done to return to the customer form
  12. 12When the top box turns green (All required fields are filled in) press Save at the bottom right — you see Customer added and the customer appears with an HN

Tips

  • The ID is checked as you type — This number already has a customer means they are registered; close and search instead of creating a new one
  • Birthdate can be left blank (stored as unknown) but not in the future · other fields can be filled later
  • New customers default to the first group in the list; change it in Customer group under General

Done when: The customer appears in the list with an HN

Step 1.2

Drug allergies and pre-procedure safety

Pick allergy drugs from the shop list · warned when prescribing

Drug allergies and pre-procedure safety

Drug allergies and pre-procedure safety

1Numbers in the screenshot match the steps · click to enlarge

Why

Allergy drugs picked from the list show a red warning in the exam room, service and pharmacy, and warn when that drug is prescribed — free text alone cannot trigger the prescribing warning

How

  1. 1On the customer row press the ⋮ button (Customer actions) at the end (for a new customer do this inside Add customer and skip to item 3)Customer actions menu
  2. 2Press Edit details (shown only to roles allowed to edit customers)Edit customer window
  3. 3Scroll to Health & safety (or click Health · allergies in the left section menu) — only roles allowed to see health data get this section
  4. 4Drug allergy box Type medicine name and select from the list: type and pick from the list (Enter picks the first); chosen drugs become red chips — only picked drugs trigger the prescribing warning
  5. 5Allergy history (free text): type allergies that are not shop drugs, e.g. seafood, or past reactions
  6. 6Congenital disease: fill in if any (also shown in the red warning bar)
  7. 7Pre-procedure safety check: new customers start at No for every item; press Yes only on the items that apply
  8. 8Press Save changes at the bottom right (Save for a new customer) — you see Customer updated

Tips

  • When editing, removing an allergy only takes effect on Save changes; cancel keeps it
  • The drug must exist in the shop’s drug list before it can be picked

Done when: The customer detail shows a red bar with the allergy drugs

Step 1.3

PDPA consent

Staff confirm with a photo, or send an SMS for the customer to confirm

PDPA consent

PDPA consent

1Numbers in the screenshot match the steps · click to enlarge

  5. 5Option 2 — choose Confirmed by Customer to send an SMS to the number shown for the customer to confirm (disabled without a phone number)
  6. 6Press Accept at the bottom right — staff mode without a photo warns you to take one · on success the window closes

Tips

  • Confirm PDPA only shows for customers not yet confirmed · customer confirmation needs a phone number
  • Confirmed customers carry a PDPA badge in the picture column

Done when: The customer has a PDPA badge and the menu item is gone

Step 1.4Optional

Read ID cards and import from Excel

Insert a card to auto-fill · move many customers from an old system

Read ID cards and import from Excel

Read ID cards and import from Excel

1Numbers in the screenshot match the steps · click to enlarge

How

  1. 1Insert the ID card into the reader and press Read ID Card at the top right (shown only to roles with permission)Customer details or Add customer window
  2. 2Existing customer = their details open · new customer = Add customer opens pre-filled from the card; check it, press Save, then close the window
  3. 3Import from an old system: press Import Excel (desktop only, not on phones, and only for roles with permission)Import customers window
  4. 4Customer group: choose the group every customer in the file will join (required — the check button stays disabled otherwise)
  5. 5Press Download Template and fill the customer list in following its column headers
  6. 6Select Excel File: choose the filled file (.xlsx only)
  7. 7Press Checking — you get Total · Correct · Incorrect counts and a row table with notes
  8. 8If any row is Incorrect, fix it in the file using the note, choose the file again and press Checking again — import is enabled only when no rows are wrong
  9. 9Press Import Data — the customer list reloads when it finishes

Tips

  • The card-reader program must be installed and running on that computer; Cannot connect to card reader means check the program and cable
  • The customer form also has a Read card button to fill or update from the card · import accepts .xlsx only

Done when: A card read fills the form, or the list imports successfully

Suspend = hide, reversible · delete = permanent

3

Customer groups and tags

Split customers for credit packages, promotions and campaigns

Step 3.1

Customer groups

One group per customer · used by credit packages, promotions and filters

Customer groups

How

  1. 1Customer groups page: press Add group at the top rightAdd Customer Group window
  2. 2Group name: type a name such as VIP or Staff (required)
  3. 3Member discount: choose None / Percentage / Amount — a reference on the bill, not deducted automatically

  8. 8Used by column: credit packages and promotions linked to the group · edit or suspend via ⋮ (Manage group) at the end of the row

Tips

  • The member discount is only a reference on the bill — it is not deducted automatically; staff add it by hand. Groups do not change course prices automatically
  • Suspending a group (via Manage group) hides it from the customer form but keeps existing members · the list opens on Active

Done when: Your groups exist and customers are in the right ones

Step 3.2Optional

Customer tags

Many tags per customer · used for search and campaign targeting
