Overview and business analytics

Read the home page numbers correctly — sales, payments, outstanding, today’s work, follow-ups — and review profit, cost and staff monthly

11 steps~20 minclinic.app-apsx.com
Contents

The Overview (the first page after login) is your morning check: today’s work and what needs follow-up. Business analytics is your month-end review: profit, where costs go. Most numbers are pre-calculated summaries (the header shows Data as of ...) so the page opens fast; only Today’s work and Latest payments are fetched live

1

Overview page

The home page — key numbers, today’s work, charts and follow-ups

Step 1.1

Choose the period and shop, and check how fresh the data is

Today / This month / This year · switch shop · data as of · refresh now

Choose the period and shop, and check how fresh the data is

Choose the period and shop, and check how fresh the data is

1Numbers in the screenshot match the steps · click to enlarge

Why

Every number here depends on the selected period and the current shop — misread them and you may compare a monthly total with today, or look at another branch without noticing

How

  1. 1Open Overview (logo or the Overview menu) — the Data as of ... line under the title shows when the numbers were summarised
  2. 2Period buttons at the top right: press Today (default) for today, compared with yesterday
  3. 3Press This month for the month-to-date totals, compared with last month
  4. 4Press This year for the year totals vs last year (the mini line shows 5 years)
  5. 5If you manage several shops, press the shop name in the top bar (only clickable when you have more than one shop)"My shops" list
  6. 6Pick the shop (with many shops, type in Search shops) — the app switches and reloads every number for that shop
  7. 7For the very latest numbers, press the circular-arrow button next to Data as of

Tips

  • Summaries age: today ~10 min, month 30 min, year 3 h. When stale you see refreshing in the background and the numbers refresh by themselves in a few seconds
  • Refreshing more than once a minute returns the same numbers — no need to press repeatedly
  • Most cards are clickable — queue tiles open the OPD queue, appointment tiles open Appointments

Done when: The header shows the right shop and period with a recent "Data as of" time

Step 1.2

Read the 4 key numbers

Sales · Payments · Outstanding · Hand fee + commission

Read the 4 key numbers

Read the 4 key numbers

1Numbers in the screenshot match the steps · click to enlarge

Why

Sales and money actually collected are not the same — look only at sales and you miss how much is unpaid and how much goes to staff pay

How

  1. 1Choose the period first: Today, This month or This year — the 4 cards in the top row follow it
  2. 2Card 1 Sales = total of invoices (bills) issued in the period, excluding voided ones; below it: the previous period and bill count
  3. 3Card 2 Payments received = money actually received by payment date: cash, transfer, card and Pay Solutions — credit and points are not counted
  4. 4Card 3 Unpaid on this period’s bills = the unpaid part of bills issued in the period; the line Total shop outstanding below is every unpaid bill, any date
  5. 5Card 4 Hand fee + commission = hand fees of completed queues plus commission on processed receipts in the period
  6. 6Check the % chip on each card (vs the previous period), then hover or tap the mini line to see each day/month/year

Tips

  • Today’s Payments can exceed Sales because it includes customers paying older bills
  • These differ from Total revenue in Business analytics: the Overview counts bills by issue date, analytics counts receipts by payment date
  • Amounts are hidden for this role means the owner turned off money for your role (see Choose who sees money amounts)

Done when: You can say how much was sold, collected and is still owed today

Step 1.3

Check today’s work (live)

Waiting · In progress · Done · Today’s appointments · hourly queue

Check today’s work (live)

Check today’s work (live)

1Numbers in the screenshot match the steps · click to enlarge

Why

Lets the front desk see how long customers are waiting, how many are waiting to pay and whether today’s appointments have arrived — without opening each queue page

How

  1. 1Scroll to the Today’s work card — its top right shows Doctors on duty and until when
  2. 2Waiting with the longest wait in minutes · In progress with how many are Awaiting payment · Done with cancellations
  3. 3Appointments today shows the total, how many confirmed and how many arrived
  4. 4The Queue arrivals by hour chart on the right shows busy hours (coloured by status) for staffing
  5. 5Press the Waiting tile to open the OPD queue and call the next customer (In progress / Done go there too; Appointments today opens Appointments)OPD queue page

Tips

  • This section is always today only, ignores the period buttons, and is fetched live (up to 1 minute delay)

Done when: You know how many are waiting and how many appointments have arrived

Step 1.4

Read the charts, latest payments and staff ranking

Monthly trend · payment methods · item types · customers · staff pay

Read the charts, latest payments and staff ranking

Read the charts, latest payments and staff ranking

1Numbers in the screenshot match the steps · click to enlarge

Why

The charts show whether this month beats last year, how customers pay, whether income comes from checks, courses or drugs, and how many customers are new — useful for promos and pricing

How

  1. 1Monthly sales trend compares each month this year with last year; hover or tap a point for amounts and the difference (always 12 months)
  2. 2Payments by method splits cash, transfer, card and Pay Solutions; credit and points appear below as not counted as cash in
  3. 3Sales by type splits checks, courses, drugs/supplies and credit (before bill discount)
  4. 4Customers who visited counts people with a queue or invoice in the period: New customers vs Returning, and gender
  5. 5Hand fee and commission compares staff pay with the previous period and its share of sales
  6. 6Top earners lists staff with the highest hand fee + commission (the Full list link at the bottom opens the Staff tab in Business analytics)
  7. 7For a plain-language explanation press AI summary at the top right — the summary appears under the header (press again to hide/show)
  8. 8Latest payments lists the newest receipts of the period (time, number, customer, method, amount)
  9. 9Press All receipts at the card’s right to open the full receipt listReceipts page

Tips

  • If one month has an abnormally large bill, the trend chart cuts the axis and shows a yellow note with the real amount — check whether that bill was mistyped

Done when: You know where most income comes from and how it compares with last year

Step 1.5

Act on the "Follow up" card

Bills overdue 30+ days · unconfirmed appointments tomorrow · expiring courses · expiring drugs · low stock

Act on the "Follow up" card

Act on the "Follow up" card

1Numbers in the screenshot match the steps · click to enlarge

Why

Each item costs money if ignored: debts get harder to collect, customers miss appointments, courses expire and upset customers, drugs expire, or stock runs out

How

  1. 1Scroll to the bottom Follow up card — tiles with a count above 0 are solid, empty ones faded; every tile opens the page to act on
  2. 2Invoices unpaid over 30 days shows the count and total — it opens Invoices so you can call the customers
  3. 3Unconfirmed appointments tomorrow — opens Appointments to send LINE/SMS confirmations
  4. 4Customer courses expiring in 30 days shows the count and remaining value — opens Customers so you can contact them
  5. 5Medicine/supplies near expiry (counted by lot) and Items below reorder level — open the store page to clear stock or reorder
  6. 6Start with the most important: press Invoices unpaid over 30 days to open InvoicesInvoices page

Tips

  • Expiry and low-stock alerts use each product’s own settings (expiry warning days and reorder point) — if never set, nothing appears
  • These are the same counts as the notification bell

Done when: Every non-zero tile in "Follow up" has been handled or assigned

Step 1.6Owner/manager

Choose who sees money amounts

Shop settings › Roles › "Data visibility" tab

Choose who sees money amounts

Choose who sees money amounts

1Numbers in the screenshot match the steps · click to enlarge

Why

Everyone can open the Overview, but not everyone should see sales or other people’s hand fees — e.g. reception only needs queues and appointments

How

  1. 1Owner: User menu › Shop settings › Roles & permissions
  2. 2Pick the role from the role list (e.g. reception)
  3. 3Press the Data visibility tab
  4. 4Overview (Dashboard) and charts: turning off Show totals on Dashboard hides sales, payments, outstanding, payment methods, latest receipts and amounts in follow-ups
  5. 5Chart switches: Show sales graph = sales by type · Show sales chart = monthly trend · Show customer chart = customers · Show commission chart = hand fee and commission card
  6. 6Sales, hand fees and costs: Show hand fee and Show commission can be turned off separately; only the enabled part is shown
  7. 7To keep a role out of Business analytics entirely, open the Menus tab and turn that menu off
  8. 8Press Save and wait for Role updated successfully

Tips

  • These switches only affect the Overview. Business analytics has no amount hiding — anyone with the menu sees revenue, cost and per-person hand fees
  • After saving, have staff reopen the Overview; if they still see the old view, wait a moment and reload

Done when: Logged in as that role, the hidden parts show "Amounts are hidden for this role"

2

Business analytics

Profit, cost, staff performance and receivables over 7 days to 1 year

Step 2.1

See profit on the Overview tab

Total revenue · total cost · net profit · margin · most profitable services/customers

See profit on the Overview tab

See profit on the Overview tab

1Numbers in the screenshot match the steps · click to enlarge

Why

High sales do not mean high profit — this page subtracts cost, hand fees, commission and discounts, showing what the shop really keeps and which services pay best

How

  1. 1Open Business analytics — the period buttons at the top right are 7 days, 30 days, 90 days, 1 year, counted back from today and compared with the same length before
  2. 2Press 30 days (default) for roughly the last month
  3. 3Press the Overview tab (the first tab under the header)
  4. 4Key figures: Total revenue = receipts paid in the period · Total cost · Net profit = revenue − (cost + bill discounts) · Margin change is shown in points
  5. 5Revenue by time of day shows morning/afternoon/evening income (by payment time) — useful for staffing
  6. 6Read the Insights card — the system points out what to watch
  7. 7Most profitable services shows what to promote
  8. 8Most profitable customers shows whom to look after
  9. 9For a plain-language explanation press AI summary at the top right — the summary appears under the header

Tips

  • Results are pre-calculated (7 days every 15 min up to 1 year every 3 h); if loading fails, Retry recalculates immediately
  • Product cost comes from cost prices in stock records — missing cost prices make profit look too high

Done when: You know last month’s net profit, margin and top 3 profitable services

Step 2.2

Review costs and staff performance

5 cost groups · hand fee by role · revenue and pay per person

Review costs and staff performance

Review costs and staff performance

1Numbers in the screenshot match the steps · click to enlarge

Why

When profit drops you need to know which cost grew fastest and whether each person’s pay fits the revenue they bring — before changing fee rates or prices

How

  1. 1Choose the period (e.g. 30 days) before looking at costs
  2. 2Press the Costs tab
  3. 3Cost by type, largest first: direct product cost · drugs/supplies used in courses · hand fees · commission · other expenses
  4. 4Cost vs previous period tells you Cost grew faster than revenue or Revenue grew faster than cost
  5. 5Hand fee by role shows which role earns the most hand fees
  6. 6Press the Staff tab
  7. 7Performance by staff: revenue handled, bills, hand fee, commission and pay to revenue — review rates for anyone unusually high

Tips

  • Other expenses come from the shop’s expense records (the expenses page) — skip rent and utilities and profit looks too good
  • Staff whose fees come only from course usage show - for revenue handled, since no bill carries their name

Done when: You know the biggest cost group and which staff have high pay relative to revenue

Step 2.3

Check forecast and receivables

Projected monthly revenue/cost/profit · collection rate · remaining courses

Check forecast and receivables

Check forecast and receivables

1Numbers in the screenshot match the steps · click to enlarge

Why

Shows what next month may look like at the current pace, how much money is still owed, and how much prepaid course service the shop still owes customers

How

  1. 1Press the Forecast & receivables tab
  2. 2Press 90 days — projections = daily average of the selected period × 30, so a longer period is steadier
  3. 3Read Projected revenue/month, Projected cost/month, Projected profit/month and Projected margin
  4. 4Outstanding receivables = every invoice not fully paid, with the Fully collected rate of bills in the period and Avg. days to collect (invoice date to payment)
  5. 5Customers’ remaining courses shows the value paid but not yet used, and roughly how many months until used up
  6. 6Projected monthly cost by type shows which cost group needs the most money next month

Tips

  • This is an estimate from past data only — promotions and seasons are not included

Done when: You know total receivables and the course value still to be served

3

Make it a routine

A morning check and a month-end review

Step 3.1

A 5-minute morning check

Yesterday’s numbers · today’s work · follow-ups

A 5-minute morning check

A 5-minute morning check

1Numbers in the screenshot match the steps · click to enlarge

Why

Small issues — unconfirmed appointments, unpaid bills, low stock — stay small when you see them every morning

How

  1. 1Open the Overview and press Today
  2. 2Hover or tap the second-last point of the Sales and Payments received mini lines to see yesterday (or read the Yesterday line under the number)
  3. 3Check Today’s work: appointments, how many confirmed, any long waits — then brief the front desk
  4. 4Go through each non-zero tile in Follow up and assign someone
  5. 5Managing several branches? Press the shop name in the top bar, pick the next branch and repeat"My shops" list

Done when: Done every morning before opening

Step 3.2Owner/manager

Month-end review

Compare with last month and last year · profit · cost · staff · receivables

Month-end review

Month-end review

1Numbers in the screenshot match the steps · click to enlarge

Why

Reviewing the same numbers every month reveals trends early — creeping costs or growing debts

How

  1. 1First, on the Overview press This month to compare sales, payments and outstanding with last month, and check the monthly trend vs last year
  2. 2On Business analytics press 30 days
  3. 3Overview tab: note net profit and margin vs last month
  4. 4Press Costs and see which group grew in Cost vs previous period
  5. 5Press Staff and review each person’s pay vs revenue
  6. 6Press Forecast & receivables, check receivables and assign someone to collect
  7. 7For bill-level detail or accounting, use the Reports menu

Tips

  • 30 days counts back 30 days from today, not a calendar month — for the last full calendar month see the Last month figure under the Overview numbers (This month view), or use a report

Done when: You have the month’s summary to compare with next month
