Coupons / credit

Point coupons, prepaid credit, discount gift vouchers and loyalty points — each works differently

6 steps~30 minclinic.app-apsx.com
Contents

These sound alike but differ: coupon = a code redeemed for points (not a discount) on the customer page · credit = a prepaid package sold on a bill and spent on later bills · gift voucher = a printed discount slip used once on a bill · points = earned by paying bills, spendable as money (rate set in shop settings)

1

Loyalty points

Set this first — coupons pay out in points

Step 1.1Owner/manager

Set point earning and spending rates

Every X baht = 1 point · Y points = 1 baht off

Set point earning and spending rates

Set point earning and spending rates

1Numbers in the screenshot match the steps · click to enlarge

Why

Unset, customers earn no points and existing points (including from coupons) cannot be spent

How

  1. 1Owner: User menu › Shop settings › Points
  2. 2Earning points: Every X baht = 1 point (0 = off), then choose courses · checks/lab/X-ray · drugs/supplies
  3. 3Redeeming points: Y points = 1 baht discount (0 = cannot spend)
  4. 4Press Save (an unsaved tag shows until you do)

Tips

  • Points are earned only when a bill is fully paid, rounded down · bills partly paid with points earn none
  • Spend at payment with the Points method · history in report 310

Done when: Both rates are set (or you decided not to use points)

Step 1.2Optional

Point coupons

Create a code → redeemed on the customer page for points

Point coupons

Point coupons

Why

For events or sign-up promos: the customer gives the code, staff redeem it, and the customer gets points to spend later

How

  1. 1Coupons / credit › Coupons: press Add coupon at the top right"Add coupon" window
  2. 2Coupon code: what the customer quotes to redeem, e.g. NEW2026 (max 45, unique in the shop, fixed after creation)
  3. 3Coupon Name: what staff see, e.g. Trade show giveaway
  4. 4Points the customer gets per redemption: more than 0 — added to the customer immediately
  5. 5Total quantity: total redemptions across all customers (the same customer can redeem again until it runs out)
  6. 6Expiry date: not before today — redeemable until the end of that day
  7. 7Status starts as Open for redemption; press Save at the bottom right — Coupon added successfully and it appears in the list
  8. 8The ⋮ at the end of a coupon row: View / Edit · Redemption history · Suspend · Delete (only if nobody has redeemed it)Row menu
  9. 9To redeem: Customers › row ⋮ › Redeem coupon, type the code or name, pick the coupon and press Redeem coupon

Tips

  • Coupons are not a bill discount — they only give points
  • The same customer can redeem again until the total runs out · no undo — fix the customer’s points by hand
  • Only unredeemed coupons can be deleted; suspend instead · history in report 209

Done when: You created a coupon and redeemed it for a customer

2

Prepaid credit

Customers prepay and spend the credit on later bills

Step 2.1

Create a credit package

Price · credit given · what it pays for · customer group after purchase

Create a credit package

Create a credit package

1Numbers in the screenshot match the steps · click to enlarge

Why

e.g. pay 10,000 to get 12,000 credit — brings cash in early and keeps customers coming back

How

  1. 1Coupons / credit › Credit: press Add Credit at the top right"Add Credit" window
  2. 2Section 1 Price and credit: Credit Name should show the deal, e.g. Pay 10,000 get 12,000
  3. 3Sale price (customer pays): what the customer actually pays on the bill (0 or more)
  4. 4Credit received (spendable): what the customer can spend — shows Pay … get … with the bonus, and an orange warning if below the price or over 3× (still savable)
  5. 5Section 2 Spendable on: choose Any item on the bill or Selected courses only
  6. 6With Selected courses only: add at least 1 course, set or category
  7. 7Turn on Allow use outside the selected items with an approver PIN if needed
  8. 8Section 3 Customer group after purchase: Move buyer into group (required) — on payment the buyer moves into this group
  9. 9Section 4 Accounting: Deferred revenue account is optional (for PEAK) · the On sale switch is on by default
  10. 10Press Save at the bottom right — Credit added and it appears in the list (sections with errors show an orange warning icon)

Tips

  • Pick the group carefully — groups drive promotion targeting and reports; the group’s member discount shows on bills as a reference only and is not deducted automatically
  • Suspend only stops selling; buyers keep spending · the list opens on Active

Done when: A credit package is on sale

Step 2.2

Sell and spend credit on bills

Sell on the quotation · pay with the "Credit" method

Sell and spend credit on bills

Sell and spend credit on bills

1Numbers in the screenshot match the steps · click to enlarge

Why

Credit is added when the bill selling it is paid, and spent later with the "Credit" payment method

How

  1. 1On this page, check the package is Active (suspended packages are not offered on new bills)
  2. 2Sell: open the customer’s quotation and add the package in the Credit section
  3. 3Take payment as usual — the credit is added on payment and the customer moves into the set group
  4. 4Spend: when taking payment on a later bill, choose the Credit method
  5. 5Enter the amount due first, then pick the credit lot and amount (cannot exceed the balance)
  6. 6Balance: customer page, balance tab Coin Balances · shop-wide in report 309

Tips

  • Cannot overspend, even with approval · voiding a receipt paid by credit refunds it
  • Commission is paid when credit is bought, not when spent

Done when: You sold credit and paid a bill with it

3

Gift vouchers

Printed discount slips, single use, across branches

Step 3.1

Create a gift-voucher campaign

Discount rules · period · branches · design

Create a gift-voucher campaign

Create a gift-voucher campaign

Done when: A campaign is "Active"

Step 3.2

Issue in lots · print PDF · scan on the bill

Issue, print and redeem

  2. 2Pick the campaign above the list, then press Issue more at the top right (only for active, unexpired campaigns created by this shop · or campaign row ⋮ › Issue / print)"Issue Gift Vouchers" window
  3. 3Quantity: 1–2,000 per batch; each voucher gets a unique single-use code
  4. 4Distribution channel: paper / LINE / other · recipient name and phone are optional (editable per voucher later)
  5. 5Press Issue + open print page — the print page opens in a new tab (if blocked, use ⋮ › Print entire batch)Voucher print page (new tab)

  8. 8Back here, press the Statistics tab: usage rate, new/returning, sales from redeemed bills and repeat purchases (Export Excel available)

Tips

  • Lost or misprinted? ⋮ › Cancel slip — cancelled slips can never be used
  • The bill’s Gift Voucher box shows only for roles that see end-of-bill discounts · only the creating shop can edit/issue

Done when: You issued, printed and redeemed one slip
