Services

Checks, lab, X-ray, packages, courses, diagnosis codes and reference values — what doctors pick and bills sell

7 steps~40 minclinic.app-apsx.com
Contents

Services holds everything the shop sells as a service. Only Active items appear in the exam room and new bills. Create categories first (Shop settings › Tags / categories) since every item needs one, and add drugs/products first if you will link them for stock deduction

Step 1.1Owner/manager

Categories and course settings

Course and check categories · how course expiry is counted

Categories and course settings

Categories and course settings

1Numbers in the screenshot match the steps · click to enlarge

Why

Every item needs a category (separate sets for courses, checks, diagnoses and reference values), used for grouping in reports. Course expiry counting is one shop-wide setting

How

  1. 1Owner: User menu › Shop settings › Tags / categories, then open the Category tab
  2. 2Press Add categoryAdd category window
  3. 3Category Type: what the category is for (e.g. courses or checks) — each type has its own set
  4. 4Category Name: e.g. laser, filler, blood tests
  5. 5Press Save — repeat until both courses and checks have their categories
  6. 6Shop settings › Course settings: in Course Expiration Counting choose the receipt date or first use (good when customers buy ahead), then Save

Tips

  • A course’s deferred-revenue account must be a liability account mapped to PEAK in Shop settings › Chart of accounts

Done when: You have the categories you need

Checks

General · lab · X-ray · sets · packages

Step 2.1

Add a check

Type · category · OPD/IPD price · cost · hand fees

Add a check

Add a check

1Numbers in the screenshot match the steps · click to enlarge

Why

Doctors pick checks in the exam room and they go on the bill at the OPD/IPD price; hand fees set here pay doctors/nurses automatically

How

  1. 1Services › Examination list (Examination list tab): press Add Examination — shown only to roles allowed to addAdd examination window
  2. 2Basic data: pick the type first — General, Lab, X-Ray, Item set or Package; the form below adapts and the code is generated
  3. 3Category (required): one created in shop settings
  4. 4Name list (required), e.g. Ferritin, and the Unit, e.g. time
  5. 5Price & cost: enter the OPD and IPD prices — sets/packages cannot be priced here; the price comes from their items
  6. 6Enter Cost price/Time and the per-time fees for doctor (DF), nurse (NR), physio (TR) and staff — OPD profit is shown below
  7. 7Lab only — Specimen (Lab): Specimen type (for tube stickers) and an optional default reference value · X-Ray only — X-Ray information: modality, body part, view (sent to PACS)
  8. 8Accounting & standard codes and E-Claim Pricing: fill them if you claim or use PEAK, otherwise skip
  9. 9Press Save — if the footer says Still missing … fill that first · the item then appears as Active

Tips

  • Sets/packages cannot be priced directly — save first, then add members; price is the sum
  • The list opens on Active · search runs on Enter or the search button

Done when: Your main checks exist with prices

Step 2.3Optional

Import from Excel

Many items — import them in one go with the template

Import from Excel

Why

New shops with hundreds of items save time importing from Excel

How

  1. 1On Examination list press Import / Export — shown only to roles allowed to import/exportImport / Export menu
  2. 2Choose Import examinationsImport examinations window
  3. 3Category to assign: every row in the file goes into it
  4. 4Press Download Template and fill it in (.xlsx up to 5 MB)
  5. 5Drop the file or press choose a file
  6. 6Press Check — each row shows Correct/Incorrect; any bad row blocks the import — fix the file and press Choose a new file
  7. 7Press Import n items — they appear in the examination list

Tips

  • Existing codes are updated · the reference-value column must match an existing reference name
  • Import check sets replaces members — those missing from the file are removed

Done when: Imported with no bad rows

Step 2.4

Diagnoses and advice/reference values

ICD-10/9 codes · lab normal ranges · post-visit advice

Diagnoses and advice/reference values

  • Create reference values before importing lab checks that refer to them

Done when: Common diagnoses and main lab reference values exist

3

Courses

Per-session · sets · unlimited · packages

Step 3.1

Add a course

Type · sessions · expiry · price · hand fees

Add a course

Add a course

1Numbers in the screenshot match the steps · click to enlarge

Why

Courses are sold on bills and used session by session; the system tracks balance and expiry (report 204_4)

How

  1. 1Services › Course list: press Add a course — shown only to roles allowed to addAdd course window
  2. 2Basic data: pick the Course type first — Normal (per session/bundle) · Item set · Unlimited (with expiry) · Package; the form adapts
  3. 3Category (required): a course category from shop settings
  4. 4Course name (required), e.g. Clear-skin laser ×10, and the Unit, e.g. session
  5. 5Course usage: Course lifetime (days), 0 = no limit — unlimited courses need more than 0 · the hint shows when counting starts (shop course setting)
  6. 6Lock drugs/supplies switch: only for courses used until the linked items run out — it cannot be turned off again; if unsure leave it Unlocked
  7. 7Selling Price: OPD / IPD price per unit and Quantity/Sales Amount (e.g. 10 sessions) — totals are shown
  8. 8Cost & staff fees: Cost price/Time and the per-session DF / NR / TR / staff fees
  9. 9Press Save — if the footer says Still missing … fill that first · the course then appears as Active

Tips

  • Lock supplies = used until the linked items run out; quantity cannot change and it cannot be turned off
  • Suspend hides it from new bills; bought courses still work · deleting cannot be undone — suspend instead
  • Import via Import / export — existing codes are rejected (unlike checks, which update)

Done when: Courses you sell exist with price and expiry

Step 3.2

Course supplies and set members

Stock is deducted on use · sets are priced by sum

Course supplies and set members

  4. 4Drug/equipment sets: type in + Add drug set — primary sets are pulled automatically, alternates can be switched at use (not for locked courses)
  5. 5Sets/packages — Courses in set: search courses to add — the set price is their total (on save)
  6. 6Press Save — removed rows show to remove and are deleted on save
