All reports live on one hub, and each role only sees the reports it is allowed. This guide has 3 parts — how to use a report page (works for every report) · which reports fit each job · and access settings for shop owners

1

Report basics

Every report shares the same layout and filters — learn it once, use it everywhere

Step 1.1

Open the report hub

The 4 report categories and their colours

Open the report hub

Open the report hub

1Numbers in the screenshot match the steps · click to enlarge

Why

The hub is the single entrance to every report and only lists the ones your role may open. If a report is missing, your role has not been given access

How

  1. 1You are on the report hub (left menu Reports & documents › Reports) — under the Report title you see how many reports your role can open
  2. 2Four categories: Drugs & equipment (violet) · Customers & services (blue) · Sales & accounting (teal) · Psychotropics & narcotics (orange) — the number on a chip is its report count
  3. 3Press the Drugs & equipment chip — only stock reports stay on screen
  4. 4Each row: report name · a one-line description of what it covers and which date it filters by · the report number · a pin star at the end
  5. 5Press Sales & accounting to see finance reports (receipts, profit, fees/commissions…)
  6. 6Press All to see every category again, with the Pinned and Recently opened cards on top
  7. 7If the list did not load or you just got new access, press Refresh (circular arrows) next to the search box

Tips

  • Report numbers follow the category — 1xx stock · 2xx customers/services · 3xx finance · 4xx government forms · 5xx GPO/claims

Done when: You can see the categories your role has

Step 1.3

Open a report and pull data

Set dates and filters · press "View report" · read the totals

Open a report and pull data

Open a report and pull data

1Numbers in the screenshot match the steps · click to enlarge

Why

A report loads today’s data when opened (as-of reports: as of today) — after changing the range or filters press "View report" again to refresh. The summary cards cover the whole range, not just the page on screen

How

  1. 1On the hub, find a report you use with Search reports (e.g. type 303) and click its name to open it
  2. 2A report loads its default range on open (usually Today · balance reports = as of today) — after changing filters press View report again
  3. 3Filter bar › Date range: press a shortcut Today · Yesterday · 7 days · This month · Last month (some reports name it, e.g. Payment date range)
  4. 4Or pick your own dates in From and To (the shortcut switches to Custom) · up to 366 days at a time
  5. 5Balance reports have a single As of date field (e.g. Balance as of) computed at the end of that day · government forms pick Month/Year
  6. 6Set other filters in the row below (department, issued by, customer group…) or type in the report Search box
  7. 7Press View report — the header shows Fetched at … and Filtered by: chips appear (× removes one, or Clear filter) · on mobile open Filters first
  8. 8Read the summary cards on top — they cover the whole range, not just the table page on screen
  9. 9At the table header press Columns to choose visible columns (Default resets) · expand rows with the arrow or Expand all · the footer totals the whole rangeChoose visible columns

Tips

  • Invalid dates (end before start, over 366 days) show a message under the field and nothing is fetched until fixed
  • Check which date a report filters by — payment, document or service date — that is why totals can differ between reports

Done when: Open at least one report (ticks itself)

Step 1.4

Export to Excel

All rows for the filters you last fetched

Export to Excel

Export to Excel

Why

For accountants, records or your own analysis. The Excel file includes every page, not only what is on screen

How

  1. 1On the hub, open the report you need (search with Search reports and click its name)
  2. 2Set the date range and filters, then press View report first — the file uses the filters of the data on screen
  3. 3Press Export Excel at the right of the report header (mobile: the Export Excel bar at the bottom) — it is disabled when the range has no data
  4. 4Wait a moment — every page is fetched and the file downloads, named with the fetched date range · Exported successfully appears
  5. 5Government forms and claim files use a different button name, e.g. Export form (Excel) — same place

Tips

  • Excel uses the filters of the data on screen — change filters without re-fetching and you get the old set
  • Up to 50,000 rows per export; if exceeded, split the date range

Done when: You downloaded an Excel file of a report you use

Step 1.5

Pin your everyday reports

Tap the star · pinned and recent reports stay on top

Pin your everyday reports

  2. 2The report now appears in the Pinned card on top (shown on the All chip) — one click opens it
  3. 3A Pinned chip is added to the category row — press it to list only pinned reports
  4. 4The Recently opened card lists the last 6 reports with times · Clear history empties it
  5. 5Inside a report, the star next to Export Excel in the header (Pin this report) does the same · press a yellow star again to unpin

Tips

  • Pins are remembered per user on this device and browser — pin again on a new device
