PDF document templates

Customise printed documents, use your logo and forms, bind real data, and restore when something goes wrong

Contents

Until edited, every document prints with the system standard. Saving makes a template Customised, and it replaces the standard immediately. One document has separate rows by language and paper size, so edit the rows your shop uses. Recommended order: preview → edit in the designer → preview again → save → print one real document. If something is wrong, the 5 latest saved versions can be restored

1

See the shop’s templates

Read the list, preview and add missing templates

Step 1.1

Read the template list and status

Categories · language · size · customised · standard

Read the template list and status

Read the template list and status

1Numbers in the screenshot match the steps · click to enlarge

Why

Templates set how the shop’s printed documents look. A customised template replaces the standard when printing. One document can have several rows by language and paper size, so edit the right row

How

  1. 1Open the PDF document templates menu and see the template and customised counts at the top
  2. 2Document categories: choose one, such as Finance · Appointments / Queue · Drugs / Prescriptions · Lab / X-Ray · Inventory · Service use · Medical certificates · OPD cards · Consent / Stickers · Assessment documents
  3. 3Search documents: type a document name or docx code
  4. 4Press a status chip (Customised, Standard or Inactive), choose a Language, and press Clear filters to show everything again
  5. 5Read the document’s rows: Language · size, Status and Last edited

Tips

  • A notice that this role can only view and preview means it lacks manage permission; the owner must grant this menu
  • On screens under 1024px you can preview and reset, but the designer needs a wider screen

Done when: You can find the document’s row with the right language and size

Step 1.2

Preview the PDF

See the real layout before editing or printing

Preview the PDF

Preview the PDF

1Numbers in the screenshot match the steps · click to enlarge

Why

The preview uses the same PDF steps as printing and includes the real shop logo, so you can judge the layout without creating a real document

How

  1. 1On the document’s row press the Preview PDF icon
  2. 2The PDF opens in a new tab — allow browser pop-ups if it does not appear
  3. 3Check the logo, text positions and paper size — the content is sample text, not real customer data

Done when: You see the sample PDF of the chosen row

Step 1.3OptionalOwner/manager

Add new templates from the system

Bring in missing templates without touching customised ones

Add new templates from the system

Add new templates from the system

1Numbers in the screenshot match the steps · click to enlarge

Why

When the system adds documents, an existing shop may not have them. This adds only what is missing and leaves customised templates alone

How

  1. 1If New system templates this shop does not have yet appears, read the missing documents
  2. 2Press Add new templates from the system — it is disabled when nothing is missing
  3. 3A message shows how many were added, and the new rows appear in the list

Done when: The missing templates bar disappears

2

Edit in the designer

Set paper, arrange fields, bind variables, add a background and save

Step 2.1

Open the designer and choose paper

Edit · paper size · add, duplicate and delete pages

Open the designer and choose paper

Open the designer and choose paper

1Numbers in the screenshot match the steps · click to enlarge

Why

Paper size and page count are the document’s structure. Set them before positioning fields, since later changes can mean redoing the layout

How

  1. 1On the document’s row press Edit — this needs a screen at least 1024px wide
  2. 2Read Last saved or Never customised in the header to know this template’s state
  3. 3Paper size: choose one, such as A3–A7, Letter, Legal, 58/80mm receipt rolls or stickers — an uploaded background will be removed, and you are warned first
  4. 4Move between pages with the previous / next page buttons
  5. 5Press Add page for a blank page
  6. 6Press Duplicate this page to copy the current page
  7. 7Press Delete this page to remove the current page — its fields go too, so you are asked first; it is disabled with one page left

Tips

  • None of these changes apply until you press Save

Done when: Paper and pages match the real document

Step 2.2

Arrange fields, text and images

Drag fields on the page · text · image · table · line · QR · barcode · signature

Arrange fields, text and images

Arrange fields, text and images

1Numbers in the screenshot match the steps · click to enlarge

Why

Positions in the designer are positions on the real document. Unbound fields show fixed text, and bound fields pull real data when printing

How

  1. 1Designer toolbar: choose a field type (text · image · signature · line · table · rectangle · ellipse · SVG · QR code · Code128 / EAN13 barcode) and place it on the page
  2. 2Press a field to select it, then drag to move or drag a corner to resize
  3. 3Side panel: set the field’s name, position, size, font, text size, colour and alignment
  4. 4Table fields: for equal borders, tick Same border on all sides, then set the width and colour
  5. 5Press Preview PDF regularly to check the real result

Tips

  • If the screen is under 1024px, widen the window — your edits stay

Done when: Fields are in the right place in the sample PDF

Step 2.3

Bind variables to real data

Available variables · copy the name · paste as the field name

Bind variables to real data

Bind variables to real data

1Numbers in the screenshot match the steps · click to enlarge

Why

The field name tells the system what to fill when printing. A wrong name shows no real data, and each document has different variables

How

  1. 1Press Available variablesVariables available in
  2. 2Search variables: type a variable name or description, and choose the This document or All scope
  3. 3Press a variable to copy its name — the window stays open so you can copy several
  4. 4Select the field on the page and paste the name into its field name in the side panel
  5. 5Press Preview PDF to check the layout, then print one real document to check the data

Done when: The real document shows data in the right fields

Step 2.4Optional

Add a PDF or image background

Use the shop’s letterhead or existing form

Add a PDF or image background

Add a PDF or image background

Why

A shop with an existing form need not redraw it: use it as the background and place data fields on top

How

  1. 1Press Background
  2. 2Choose Upload PDF / image and pick files — several files become several pages
  3. 3After Background applied appears, align the fields with the form
  4. 4To remove it, press Background and choose Remove background (blank paper)

Tips

  • Only PDF or image files are supported, and changing paper size removes an uploaded background

Done when: The background shows in the sample PDF with fields aligned

Step 2.5

Save the template

Save · unsaved changes · applies when printing

Save the template

Save the template

1Numbers in the screenshot match the steps · click to enlarge

Why

After saving, this template becomes "Customised" and immediately replaces the standard when printing, so always preview first

How

  1. 1Look for the Unsaved changes tag in the header
  2. 2Press Save or Ctrl+S
  3. 3Template saved appears and the list shows Customised
  4. 4Press the back arrow to return to the list — with unsaved changes choose Save and leave, Stay or Leave without saving

Tips

  • The More menu has: Reload from the saved version · Use the sample (demo invoice) · Download template file (.json)
  • Templates are separate per language and size; if the shop uses several, edit each row in use

Done when: The row is "Customised" and printed documents use the new look

3

Restore and reset

Fix mistakes by restoring an old version or going back to the standard

Step 3.1Optional

Restore from version history

Keeps the 5 most recent saves

Restore from version history

Restore from version history

Why

How

  1. 1On the document’s row press the More menu and choose Version historyVersion history
  2. 2Read the list: the In use tag and each save’s date and time
  3. 3On the version you want, press Use this version
  4. 4A message confirms the restore; preview the PDF to check

Tips

Done when: The sample PDF shows the chosen version

Step 3.2Optional

Reset one template to the standard

Others untouched · the old version can be restored

  2. 2Read which customised version is affected and press Reset this template
  3. 3A message confirms the reset, and the old work can still be restored from Version history

Done when: The row shows "Standard"

Step 3.3OptionalOwner/manager

Owner only · type the shop code · customised templates are lost

Tips

  • It runs as one step, so a failure leaves everything intact, and the shop receives templates for its type

Done when: Every row is "Standard" and printing works
